Automation for HVAC companies

An HVAC company runs on the office keeping up with the field: the call that came in at nine at night, the quote nobody chased after the site visit, the maintenance agreement that lapsed in July. We automate the routing, the chasing and the renewals so the office stops being the bottleneck when the season hits. The closest build onboarded a plumbing firm, the same shape of business.

What this looks like before we arrive

  • A call comes in at nine at night and sits until someone opens the inbox, by which time they have booked whoever answered
  • Quotes go out after the site visit and nobody chases them, because chasing is nobody's job in the busy season
  • Maintenance agreements lapse quietly, because renewing them depends on someone remembering in the one month nobody has time

In practice

What we build for them

Questions we get asked

Have you done this for an HVAC company?

Not for an HVAC company by name, yet. A plumbing firm was one of three businesses onboarded on the build below, and the shape is the same: a trade business, office-led admin, and work that starts before the paperwork lands. We would rather say that plainly than imply a project we have not done.

Does this touch our dispatch or field service software?

We work around it. Jobber, Housecall Pro, ServiceTitan: the jobs live there and stay there. The automation sits in the layer around it: the inbox, the CRM, the quote follow-up, the renewal reminders. Where the software has an API we connect to it; where it does not, the system works from what it exports.

What would you automate first?

Whatever a job waits on. Usually that is the enquiry sitting unrouted overnight, or the quote that went out and was never chased. On the onboarding build, collecting documents before work started is what removed the rework; for an HVAC job the same ordering is the site visit, the quote and the sign-off, every time.
