CRM automation that does the chasing
We automate the CRM you already run, whether that is HubSpot, Pipedrive or Airtable, so records update themselves and follow-ups go out on a ladder instead of when someone remembers. On the last build that ladder sent 214 reminders and none of them came from a human. Rules run in report-only mode first.
What this looks like before we arrive
- Leads arrive and sit there until somebody happens to notice them
- Half the pipeline is out of date, because updating it is nobody's favourite job
- Follow-up depends on one person having a good week
How we build it
A ladder, so a person does not have to be persistent
First reminder, second reminder, third reminder, and only then does a human get involved. By the time a name reaches you, three polite messages have gone unanswered and the situation needs a phone call. On the onboarding build, 214 reminders went out and none were sent by a human.
Stages that mean something
Five stages from signature to live, each one labelled by who does it. The board answers where a client is up to without anyone being asked. That is also what removed the rework: documents are collected before configuration starts, every time.
Report-only first, then handed over
Every rule logs what it would have done for a week before it is allowed to touch a record. Afterwards you get the rules and the documentation to change them, because a CRM whose logic only we understand is worse than the spreadsheet it replaced.

Questions we get asked
Will I have to move CRM?
No. We build on the one you already pay for. If it genuinely cannot do what you need we will tell you, but migrating a CRM is a project of its own and we will not fold it into an automation build without saying so.
How long before anything changes?
The first stage is usually live in one to two weeks, including the week it spends in report-only mode. The onboarding build took median time to live from 9.4 days to 2.1 across 38 clients, shipped one stage at a time.
What stops it emailing the wrong person?
Report-only mode first, then the exception queue. For a week it only logs what it would have sent, and we read that log together. After it goes live, anything the rules do not cover goes to a queue with the reason attached and a person decides.
Which part of your operation eats the most hours each week?
